Regional Support Request Form

The REC Foundation Regional Support Request form for VEX Robotics programs is used to request changes to VEX Robotics teams or events in RobotEvents.com, or to report an event anomaly. Support requests are automatically routed to the appropriate REC staff member or committee based on the type of request.

Team Change Request

For use by registered Primary Coaches

This form is used to request modifications to your team account in RobotEvents. All change requests must be submitted by the team’s registered Primary Coach. In cases where the Primary Coach Contact is no longer affiliated with the team, the request may be made by the designated school administrator or an individual of equivalent authority. Changes may include, but are not limited to:

  • Update to Primary Coach - Switch to a new contact or update a current Primary Coach’s information.
  • Modify Grade Level - Adjust the grade level designation within VEX IQ Elementary School / Middle School or VEX V5 Middle School / High School to accurately reflect the team members’ ages (this request must be made prior to attending a qualifying tournament).
  • Correct Program/Platform Registration - Change any errors or inaccuracies due to registering for the wrong program, such as VIQRC to V5RC or V5RC to VIQRC (this request must be made prior to attending a qualifying tournament).

Event Change Request

For use by the Event Partner

The Event Change Request Form should be used to request modifications to an event. All change requests must be initiated by the Event Partner. Changes may include, but are not limited to:

  • Modify Event Dates - Adjust registration deadlines, payment deadlines, or any other pertinent dates related to the event.
  • Revise Event Information - Change grade level specifications, maximum registrations allowed, alterations in judging format, or any other relevant event details.
  • Include Additional Event Administrators - Add new event administrators to facilitate smoother coordination and management.
  • Adjust Awards - Add or remove awards that could impact the finalization of the event.
  • Adjust Organization Limit - Increase or decrease the number of teams per organization that can attend an event. This number can only be decreased if the event has not been published on RobotEvents. To increase the number after teams have already begun registering, the EP will be required to contact all registered organizations and offer an equal opportunity to add additional teams up to the new limit.

Event Anomaly Log

For use by any involved parties

The Event Anomaly Log is used to report any irregularities at an event that may require scrutiny or investigation. Submissions must specify whether reported issues relate to the game manual or the qualifying criteria. Anomalies may include, but are not limited to:

  • Head Referee Ruling Discrepancy - Report instances where a ruling or judgment made by the Head Referee deviated from what is explicitly specified in the game manual.
  • Excellence Award Misallocation - Report cases where the Excellence Award was presented to a team that did not meet the minimum published requirements outlined in the Excellence Award Criteria.
  • Event Format Deviation - Report an instance where the event format did not adhere to the guidelines in the Qualifying Criteria, such as too few matches or too little time for skills matches.

Code of Conduct Reporting Tools

For use by the Event Partner, Judge Advisor, and/or Head Referee

The Code of Conduct reporting tools are separate from the Regional Support Request Form, and may only be used to submit Code of Conduct violations and/or related evidence from at an event. Violation Reports must be submitted by the Event Partner, Judge Advisor, and/or Head Referee within one week (seven calendar days) following the conclusion of the event.

Please Note: If you are not the Event Partner, Judge Advisor, or Head Referee for the event, you should report Code of Conduct concerns to event staff during the event or within one week of the event. If the event staff is unavailable or not responsive within 48 hours, reach out to your REC Foundation Regional Support Manager. Code of Conduct reports may include, but are not limited to:

  • Adult Working on Robot - Report repeated instances of a coach or adult directly working on a robot without students (potential violation of rule <G2>).
  • Adult Involvement in Coding - Report repeated instances of a coach or adult working on the robot's code without students (potential violation of rule <G2>).
    Instances of Disrespectful Behavior - Report repeated disrespectful or unsportsmanlike conduct by any individual affiliated with a team (potential violation of rule <G1>).
  • Miscellaneous Circumstances - Examples include situations where it appears the team may not have constructed or coded their own robot, instances of a student serving as a driver for multiple teams, students participating in the wrong grade level program, adults leaving students unsupervised at an event, unsafe actions, and adult interference with match outcomes or referee calls.
